AsiaDPO Privacy Policy
AsiaDPO is a self-governing society run by Data Protection Officers for DPOs. We are registered with the Singapore Registry of Societies under the name “Asia Data Protection Officers” (UEN No. T17SS0133G).
Personal data we collect
We collect personal data (as defined in the Singapore Personal Data Protection Act) which you submit to us via administrator@asiadpo.org, this website, and when you interact with members of the society, including but not limited to the management committee members.
Your personal data may also be submitted to us via third parties. If you are submitting personal data on behalf of another individual, you warrant to us that you have obtained permission to do so from that individual. For example, an individual applying for a corporate membership may submit personal data on behalf of a nominated colleague or an individual may refer another individual for membership.
When you browse this Site without logging into the members’ area, we do not capture any data that allows us to identify you individually.
If we are required by law to collect personal data which would generally be considered sensitive, such as government identification numbers, it will only be with your explicit consent.
Why we collect your information
We process the personal data we collect for the general administration and management of AsiaDPO and its activities. For example,
- processing your membership application and maintaining your account on this Site
- processing your membership fee payment information
- to send you information about AsiaDPO events, activities and news, if you are an AsiaDPO member or have otherwise requested for such information
- including your contact information in a members’ directory owned by AsiaDPO
- to respond to your inquiries or requests
- to comply with all applicable laws or regulations and requests from local or foreign authorities
Sharing your information with third parties and overseas transfers
We will only share your personal data with third parties when reasonably necessary for the administration or management of AsiaDPO and its activities. For example, we may have to share your name and contact details with a member who has offered their office space for an AsiaDPO meeting. We may also need to share your personal data with services that we use, such as EventBrite and GlueUp.
Outside of these purposes, we will only share your personal data with your permission.
Your personal data may also be transferred outside the country that it was collected in, when your personal data is processed or shared for the above purposes.
Securing and retaining your information
We will employ reasonable security arrangements to protect your personal data against unauthorised use, disclosure or similar risks.
When you terminate your membership, we will cease to retain your information as soon as practicable, unless a longer retention period is required or permitted by law.
Access and correction of your personal information or other privacy related queries
It is your responsibility to ensure that the personal data you provide to us is accurate and up-to-date.
Any requests to access or correct your personal data or privacy related queries may be directed to administrator@asiadpo.org, copying the AsiaDPO President (president@asiadpo.org).
Our commitment to your privacy
As privacy practitioners and volunteers in the DPO communities of practice, we are committed to respecting your privacy. This means that we will handle the personal data you entrust to us with care, applying the principles of data minimisation and privacy by design. We will always conduct a privacy assessment before processing your information, and will not trade your privacy rights for the objectives of AsiaDPO and its members.
Updates to this Privacy Policy
By using this Site, becoming an AsiaDPO member, or providing us your personal data through other means, you are providing your consent for AsiaDPO to process your personal data in accordance with this Privacy Policy.
We reserve the right to amend the Privacy Policy at any time, for any reason, without notice to you, other than posting the amended Policy on this Site. You are invited to check this Policy whenever you access our website for the latest updates.
